TlaTi is designed for healthcare appointment administration and patient communication. This Privacy Policy explains how information is handled in that context.
1. Scope
This Privacy Policy explains, at a high level, how TlaTi and Innovaseb handle personal information in connection with the website, accounts, subscriptions, support interactions, and the TlaTi service.
This page should be read together with the Terms of Service, which describe the contractual allocation of responsibilities between the Customer and Innovaseb.
2. Roles and Responsibility
- For patient data submitted through TlaTi by or for a practice, the practice or practitioner customer acts as responsible party and Innovaseb acts as operator on that customer's instructions, subject to applicable law.
- For account, billing, support, and business-contact information collected directly by Innovaseb in its own operations, Innovaseb may act as responsible party.
- Practices remain responsible for obtaining any patient consent, notice, authorisation, or other lawful basis needed for communications and processing carried out through TlaTi.
3. Information We Handle
- Account and practice details such as names, practice names, practitioner names, e-mail addresses, and contact numbers.
- Subscription and billing information reasonably needed to invoice, administer, and support the service.
- Support and business-contact communications sent to or from Innovaseb.
- Basic patient contact and booking-administration data submitted through the service, such as patient names, contact numbers, appointment details, and communication metadata.
- Voice call metadata where the optional voice workflow is enabled. Call audio is not recorded by default unless recording is expressly enabled or separately agreed.
- Essential technical information used for sign-in, session continuity, security, fraud prevention, and basic product operation.
4. How Information Is Used
- To provide, operate, secure, maintain, and improve TlaTi.
- To authenticate users, manage accounts, and administer subscriptions or billing.
- To respond to support requests, service enquiries, and business communications.
- To process patient booking and communication workflows on the Customer's instructions.
- To investigate service issues, misuse, security concerns, or legal requests, and to comply with applicable law.
5. Sharing and Operators
- Innovaseb may use service providers, infrastructure providers, payment processors, authentication providers, and communications providers where reasonably necessary to operate TlaTi.
- Information may also be disclosed where required by law, legal process, regulatory obligation, or where reasonably necessary to protect rights, security, or the service.
- Innovaseb does not describe TlaTi as a public patient portal and does not intend standard service scope to include broad clinical records or diagnostic data.
6. Cookies and Similar Technical Storage
- TlaTi uses essential technical cookies or similar storage for authentication, session handling, security, and basic site or app functionality.
- The site may also store limited device-side preference information, such as theme selection.
- No intentional non-essential analytics or advertising cookie programme is described on this site at this time.
7. Retention and Deletion
- Information is retained while needed to provide the service and for a reasonable period afterwards where needed for legal, billing, fraud-prevention, backup, dispute, security, or compliance purposes.
- Customers may request deletion or access at a high level, but the response may depend on the Customer's role, the nature of the data, applicable law, and whether Innovaseb is acting as operator or in its own capacity.
- Where Innovaseb acts as operator for patient data, the relevant practice may need to instruct Innovaseb or handle the request directly as responsible party.
8. Security
- Innovaseb uses general technical and organisational safeguards appropriate to the nature of the service, but does not guarantee that any system or transmission is completely secure or immune from compromise.
